This Privacy Policy explains what data we collect, how we use it, and how we protect it. This policy applies to all users of RelayPayroll, including administrators, employees, and website visitors.
2. Data We Collect
Account Data
Company name, administrator name, email address, and phone number — collected during registration.
Employee Data
Employee names, positions, salary information, SSS/PhilHealth/Pag-IBIG numbers, attendance records, and leave records — entered by your organization's administrator or HR personnel.
Usage Data
Login times, pages visited, and feature usage — collected for analytics, service improvement, and support purposes.
Payment Data
Subscription payments are processed by Stripe. We do not store credit card numbers, CVVs, or other sensitive payment credentials on our servers.
Contact Form Data
Name, email address, message content, and IP address — collected when you submit our contact form.
3. How We Use Your Data
- To provide and operate the RelayPayroll platform
- To compute statutory deductions (SSS, PhilHealth, Pag-IBIG, TRAIN)
- To generate payslips and payroll reports
- To process subscription billing via Stripe
- To send service-related emails (payslip notifications, billing receipts, account alerts)
- To improve our service through aggregated, anonymized usage analytics
We do not sell your data. We do not share employee data with third parties for marketing or any other purpose unrelated to delivering our service.
4. Data Storage and Security
- Your data is stored on secure servers with restricted access.
- Row-level tenant isolation — each company's data is completely separated and never mixed with other organizations.
- All data is encrypted in transit (TLS 1.2+) and at rest.
- We perform regular automated backups to protect against data loss.
- Access to production systems is restricted to authorized personnel only.
- In the event of a security incident, we will notify affected users within 72 hours of discovery.
5. Data Retention
- Active accounts: Data is retained for as long as your account remains active.
- Cancelled accounts: Data is retained for 30 days after cancellation, then permanently deleted.
- Contact form submissions: Retained for 12 months.
- Usage logs: Retained for 90 days.
- Backups: Rotated every 30 days.
6. Your Rights
- Access: You may request a copy of the personal data we hold about you at any time.
- Correction: You may update your data directly through the platform or by contacting us.
- Deletion: You may request account deletion. Your data will be removed after a 30-day grace period.
- Export: You may export your employee data, payroll records, and attendance logs using our built-in export tools.
- Objection: You may object to the processing of your data for specific purposes by contacting us.

7. Cookies
- We use session cookies that are required for login functionality and security.
- We do not use third-party tracking cookies.
- We do not use advertising cookies.

8. Third-Party Services
RelayPayroll integrates with the following third-party services. Data is only shared with these services when you choose to connect them:
- Stripe — Payment processing. See Stripe's Privacy Policy.
- Clockify — Time tracking integration (only if you connect it).
- Cal.com — Booking and scheduling integration (only if you connect it).
- Discord — Notification webhooks (only if you connect it).
We only share the minimum data necessary to operate each integration, based on your configuration.
9. Children's Privacy
RelayPayroll is a business service not intended for use by anyone under the age of 18. We do not knowingly collect personal data from minors. If we become aware that we have inadvertently collected such data, we will delete it promptly.
10. International Data
RelayPayroll data is primarily stored on servers accessible from the Philippines. If you access our service from outside the Philippines, you consent to the transfer and processing of your data in the Philippines.
11. Changes to This Policy
- We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements.
- Material changes will be communicated via email to account administrators.
